If you are traveling through the United States en route to Canada, even if only in transit due to connecting flights, you will be required to go through US Immigration and Customs and may require a US visa. Please consult US visa requirements at the links below or consult your travel agent.
Starting March 15, 2016, visa-exempt foreign nationals who fly to or transit through Canada will need an Electronic Travel Authorization (eTA). Exceptions include U.S. citizens and travelers with a valid visa.

Visas are the responsibility of individual delegates, and must be obtained before coming to and arrival in Canada. Please note that the conference organizers and Secretariat do not have the authority to act on behalf of individuals in obtaining visas. It is strongly recommended that you apply at least six months in advance to ensure you receive your visa in time for travel. For more information regarding application processing times click here.
All Canadian Embassies and Consulates around the world have been informed of EVS29 and are expecting visa requests from registered delegates.
If a delegate has to cancel because the visa application was declined or the visa was delivered too late, the request for cancellation must be received in writing at the Congress Secretariat no later than June 1, 2016. The Secretariat will issue a total refund minus a CAD$150 administration fee.
How do I obtain an official invitation letter?
To support visa applications for congressional participants coming from countries requiring a visa to enter Canada, a personalized letter of invitation is available to all registered delegates.

You will be able to select your preferred hotel during the EVS29 registration process.
Warning Regarding Non-Official Housing Services (Housing “Pirates” Warning)
Room pirating is a practice carried out by third-party companies that act as travel agencies or destination management companies to solicit attendees and exhibitors for room reservations.
Please be vigilant if approached by any company. All hotel bookings must be done through the official housing provider which is operated by the EVS29 Secretariat – JPdL International.

Applicable Taxes on Room Rates: All above rates are in Canadian dollars and do not include taxes applicable at the time of the event. Currently the applicable taxes as follows: a city tax of 3.5% per room, per night plus government sales taxes totaling 14.975% (5% goods and services tax + 9.975% provincial sales tax). These taxes are subject to change without notice.
Reservation Deadline: Reservations must be received by the Secretariat no later than May 10, 2016. Availability and room rates are not guaranteed after this date.
Reservation Guarantee: A credit card is required to book and guarantee the reservation. All major credit cards are accepted. Reservations booked without a credit card will not be processed.
Early Departure : An early departure fee may apply per night, per room based on the individual hotel policy.
Changes: All hotel reservation changes must be sent to the EVS29 Housing Bureau in writing at: secretariat@evs29.org.
Important Notices: Rates applicable 3 days prior to and 3 days after the meeting, subject to availability. Room rates are not guaranteed after May 10, 2016. Breakfast is NOT included in the rates.
